Administrative Assistant

The Jack, Joseph and Morton Mandel Foundation seeks an Administrative Assistant to serve and support the general mission of the Mandel Foundation by providing administrative, project and event support to members of the Foundation staff.  Key responsibilities include:

  • Manage and maintain contacts and calendars for executive staff
  • Coordinate meeting logistics including scheduling, distribution of materials and room preparation
  • Make travel reservations, create itineraries and process expense reports
  • Assist with the regular communication with Board members and consultants
  • Collect, open and distribute incoming mail
  • Maintain files in compliance with records management policies
  • Other administrative or project-related duties as assigned

The Administrative Assistant will work under the supervision of the Chief Operating Officer. Candidates for the position should have:

  • Associate’s or Bachelor’s Degree
  • 3-5 years’ experience working as an assistant
  • Proficiency in MS Office, including Word, Excel, Outlook and PowerPoint
  • Strong organizational skills and the ability to handle multiple tasks
  • Ability to work independently and prioritize workload
  • Excellent communication and interpersonal skills
  • High level of integrity and the ability to maintain confidentiality
  • Some event planning experience preferred
